Bytora Assistant (WhatsApp Bot) and Web App
When you use the Bytora Assistant on WhatsApp or our assistant web app, we collect and process the following in addition to our general privacy practices above.
Data we collect for the Assistant
- Identity & contact: Your WhatsApp phone number, display name, and (if you set it) login email for the web app.
- Messages: Content of messages you send to the assistant (text and voice). Voice messages are transcribed using a third-party service (e.g. OpenAI) so we can process them.
- Preferences & settings: Timezone, region, tone, and other preferences you set via the assistant or our APIs.
- Memory & goals: Information you ask us to remember (e.g. contacts, dates, facts) and goals/tasks you create with the assistant.
- Google account (optional): If you connect Google, we store an encrypted refresh token so the assistant can access your Gmail and Calendar on your behalf. We do not store your Google password.
- Usage: Usage metrics (e.g. number of requests, cost estimates) for billing and service improvement.
Security and encryption
Conversations are encrypted in transit (e.g. over HTTPS and via the official WhatsApp Business API). Sensitive assistant data—including conversation content, memory, and the Google refresh token—is encrypted at rest in our systems. Data is stored only as needed to provide the assistant’s features (reminders, tasks, calendar, etc.). You can revoke Google access at any time in your Google account settings.
How we use this data
- To provide the assistant (replies, reminders, calendar, email, goals, and related features).
- To send you scheduled reminders and messages you have requested.
- To allow you to sign in to the assistant web app (account and billing) using your phone number or email and a verification code.
- To improve our service, troubleshoot issues, and comply with law.
Third parties
To operate the assistant we use:
- Meta (WhatsApp): We use the official WhatsApp Business API (Meta Cloud API) to send and receive messages. Meta’s privacy policy applies to WhatsApp data.
- AI providers: Message content may be processed by third-party AI services (e.g. OpenAI, Anthropic) to generate replies. Their respective privacy and data processing terms apply.
- Google: If you connect Google, we use Google APIs for Gmail and Calendar. Google’s privacy policy and API terms apply.
We do not sell your assistant data. Your message content is not used to train AI models; it is processed only to perform the services you request. We use assistant data only as described in this policy and in our Terms of Service.
Retention
We retain assistant data as follows: messages and activity logs are kept for a limited period (e.g. 12 months for messages, 3 months for logs) and then automatically deleted. Memories, goals, and preferences are retained while your account is active. After account termination or expiry, we may retain data for a limited period for backups and legal compliance, then delete or anonymize it. Exact retention periods are configurable and may be updated; contact us for current details.
Your rights and deletion
You can request access, correction, or deletion of your assistant data. You may delete your assistant data (messages, memories, goals) at any time from the assistant web app under Account > Delete my data—this removes your conversation content, stored memories, and goals within 24 hours. You may disconnect Google at any time via the link we provide in the assistant. For full account deletion or other requests, contact us. We aim to process deletion requests within 30 days.
